Guidelines for AI Transcription Use

AI services like Otter.ai, Loom, Notion, and ChatGPT offer transcription services for online meetings. While these tools can be useful, it can also violate the privacy and safety of other meeting attendees.

For example, Parkinson’s Support Groups are designed to be a safe space for attendees to share their stories, experiences, or feelings, knowing that what they share will not be made public. AI transcribers and the Large Language Models (LLM) that they use cannot record information privately. They record all provided information, and keep it within their servers.

Because of this, Parkinson Society British Columbia (PSBC) requests that all AI recording/AI transcription services be turned off when attending Support Group sessions. This is done to protect the privacy and safety of all the attendees, including their likenesses and the stories they may share.

How to Turn On Live Captions

If you are looking for a way to view the written content of a meeting, we suggest turning live captions on. Below are instructions on how to do so in Zoom and Microsoft Teams:

How to Turn AI Transcription Off

Otter.ai:

  • Navigate to Account Settings > Meetings.
  • Click on AI Notetaker settings menu directly on the homepage Meetings tab.
  • Click on the gear settings icon in the upper corner.
  • Select Meetings I manually select.

Loom:

  • Open Workspace Settings from the left-hand sidebar.
  • Select the Meeting Recordings tab.
  • Choose whether Meeting Recordings are Enabled or Disabled.

Notion

  • Click Settings in your sidebar.
  • Select Notion AI.
  • Toggle off Workspace Availability.

ChatGPT:

  • Go to Settings.
  • Select Workspace Controls.
  • Toggle off Record.
